1. Prices:
All tour prices offered are based on the present value of foreign currencies in relation to the US Dollar or Euro. Due to the prevailing market situations throughout Vietnam that prices may be subject to change without notice.
2. Reservation:
All bookings should be book directly from website or email to us. Upon your enquiries, we will try to response you within a maximum of 24 hours.
3. Booking Confirmation:
All bookings must be confirmed by clients at least 30 days prior to the date of arrival. Also, the full payment should made at the same time of booking confirmation. If not, we will cancel the booking.
4. Payment:
Clients can pay by cash, credit cards (Master Card or Visa Card) or Travelers Cheques. Once agreed by HUY HAI TRAVEL, the amount shall be paid to the Company. Except for cash payment, service charge may apply. In case credit facilities has been agreed with the client, payment shall be telegraphically transferred to the following bank account:

5. Booking change fee:
A change fee per person will be charged from the 2nd revision or alternation made to a reservation after the booking is confirmed. The fee is subject to the change services and will be noticed to you.
6. Amendments after Departure:
The cost of any changes or additions will be at the local rate at the time of the amendment and must be borne by passengers.
7. Cancellation:
Cancellation written notice must be received by us either by fax or email. When you cancel your trip:
- Up to 7 days prior to departure : No charge.
- On the day of departure or no-show : 100% of the total price will be assessed.
8. Passport/visa:
All passengers? passports must be valid for at least 6 months. We are not responsible when you are denied to enter Vietnam for any reason, even if you have a valid passport and visa. If you are applying for your own visa, a copy of your passport should be sent to us. All documents/tickets will be issued under your passport name.
9. Passenger Name:
Passengers are responsible to ensure that the names printed on the invoice exactly match their passport names. We will not be held responsible for the denial of services by carrier due to any name discrepancy. Names changes must be advised in writing and are subject to airlines penalties.
10. Luggage:
All tour packages allow one piece of luggage per person and one carry-on bag (for Vietnam domestic flights the allowed maximum weight is of 20 kgs or 40 lbs.). Excess luggage charge and insurance is at owner?s responsibility. We accept no responsibility for cost, which may occur as result of a participant failing to reinsure adequate insurance coverage.
11. Shopping:
Although we will be ready to assist you with any shopping requirements, we are not responsible for any goods purchased during the tour or for any mailing, freight or shipping arrangements. Any after-sales correspondence must be between passenger and shops.
12. Health Requirements:
In order to ensure the smooth operation of the tour, We recommend that travelers be in good health. Please consult with your physician regarding your health and ability to travel long distances. Any physical or mental disability, which requires special treatment or attention, must be noted at the time of reservation, we reserve the right to exclude passengers who are physically or mentally unfit to undertake long trips, in the interest of the whole tour group.
13. Travelers with Disabilities:
Tour participants requiring any form of assistance are required to notify us in writing at the time of reservation. Tour managers, guides, drivers or other tour, hotel, ship personnel are not able to provide such assistance. Due to space limitations, wheelchairs and walkers cannot be taken aboard motor coaches and/or ships. We reserves the right to remove any person from a tour who has not provided the required notification and has not received written confirmation from us. All related expenses, including those to return home, will be borne by the passenger.
14. Insurance Premiums:
The tour prices do not include personal insurance premiums. So we highly recommend that passengers take out their own insurance policy before departure.
15. Air & Rail Tickets:
Airlines schedules and domestic flights are subject to change without prior notice. We are not responsible for penalties incurred for tickets due to schedule and/or flight changes. Rail tickets are valid for the dates and times specified and once issued are non-refundable. The possibility of date and/or time changes once issued is strictly subject to availability and may be charged with regulated fees by the railway station.
16. Hotel Accommodations:
Will be provided in accordance with the itinerary or similar. We reserve the right to make substitutions with hotels of equal standard. There will no refunds for any difference in the cost of those accommodations. All rooms are standard twin-bedded rooms with private facilities, unless you have specifically requested and paid for an upgraded room category. Special requests such as bed types (twin or double), smoking preference and connecting rooms must be advised and are subject to availability. Room selection in all cases, unless otherwise reserved, is strictly at the discretion of the hotel?s management on a run-of-house basis. Triple rooms consist of 2 standard single beds (or one double bed) plus a single bed or folding bed for third person. Breakfast is not included for a child under 2 years of age when staying free of charge.
All hotel rates are based on HUY HAI TRAVEL agreements with its suppliers and are not negotiable. Hotel check-in time is generally not before noon and check-out time is prior to noon.
17. Meals on Tour:
As specified in each itinerary. Meals are based on the set menu. In general, beverages are not included, unless specifically stated.
18. Sightseeing:
will be operated by private vehicles with A/C. HUY HAI TRAVEL has been designed to accommodate individual(s) as well as groups. Please refer to each tour package for a complete listing of tours services included. It is your responsibility to be or arrive on time for all scheduled flights, boats, cruises and package components.
19. Public Holidays:
On dates including, but not limited to religious holidays and national celebrations, some monuments and sites may be closed. On these occasions, touring itineraries may be amended to reflect these closures.
20. Itinerary & Hotel Variations:
We have sole and exclusive control over the operation of all tours in Vietnam. Occasionally, during holidays and certain periods, due to unforeseen circumstances, we may have last minute changes, sometimes after arrival, in the sequence of the tour and/or hotels. We reserves the right to make alterations with no cost adjustment in the itinerary as to destinations, transportation, accommodations and all other services.
21. Claims:
Any claims regarding the supply of a service should be brought to the attention of the accommodation or service provider as early as possible during client?s stay in order for claims to be dealt with quickly. However, if not resolved to your satisfaction it should be notified to us in writing by email or fax within one month of the date of the supply of the service. Any claims received after one month of the date of supply of the service will not be investigated.
22. Tipping:
Tipping is not required but is highly appreciated. Tipping is usually made at the end of a tour for the tour guides and drivers. The porters should also be tipped.
23. Responsibility:
HUY HAI TRAVEL shall not assume responsibility for standards of quality, hygiene, cuisine, sanitation facilities, cleanness, telecommunications facilities, method of conducting business, emergency medical evacuation, treatment, or medical services found in these destinations, weather, strike, acts of God, acts of terrorism, force majeure, acts of government?s civil disturbances, war, quarantine, customs, regulations, epidemics, criminal activity or any other cause beyond control. All such losses or expenses have to be borne and paid for by the participant.
24. Services not included:
Items of personal nature such as laundry, wines, mineral water, beverages, coffee, tea, food other than the table d?hotel menu, passport and visa stamping fees, insurance, excess luggage charge, phone bills, postage, charges arising from changing and airport taxes and other things not mentioned in the tour price.
